How to Move Office on Time and in Budget

Oct 27. 2021

Office moves can be complex projects and there will be great importance placed on completing the move within a specified timescale and within budget. Hidden costs can arise out of the blue and equally there can be constraints that arise during the move which can throw the process off course. Here’s a few top tips to help keep office removals on track:

Have a plan
It’s important to create a budget for the move that is realistic. This way there will be less chance of unexpected additional costs popping up later in the process. Knowing what you’re up against and understanding every facet of the move will help you to create a budget for the relocation. Gather together the information at the start of the planning phase in terms of the number of employees that are involved in the move; which equipment and furniture needs moving; which furniture won’t be needed in the new premises and the date for completion of the move etc.

It will be beneficial to involve any commercial relocation services that you’re using, as early on as possible in the process. In essence, to create a plan for a commercial relocation, you’ll need to take into account anything that could affect the move or hold it up and take the time to figure out a contingency plan. Doing this at the start and it will save you stress later on. Depending on the size of the relocation, break the project down into phases and know which activity will be completed in each phase.

Avoid Landfill
With an office relocations there is most likely to be equipment, be this office furniture or IT equipment that is no longer of use in the new premises or is no longer fit for purpose and needs to be disposed of. It’s ever present in our minds that sending items to landfill needs to be avoided to lessen any environmental impact. The furniture that can be re-used can be sold on. Equally, it can be really beneficial for your organisations to donate furniture and equipment to local charities or social enterprises that can then put them to really good use in supporting their service-users. In turn, this can be a great way of strengthening your organisation’s corporate social responsibility endeavours. Diverting waste away from landfill and helping those in need is a double win!

Furthermore, avoiding furniture and equipment going to landfill will also reduce the cost of the move. It is becoming increasingly expensive to send to landfill, so re-selling, recycling, re-using and donating are really important to drive down costs as well as being ethical and environmentally sound.
